OUR STANDARD PROJECT APPROACH

At The Adventure Consultants, we approach each destination based project with the RIBA Plan of Work structure as a foundation. The ensures that every stage is meticulously planned and executed, from the initial concept to the final handover.

This structured framework provides a clear roadmap, promoting efficiency, quality, and alignment with the project’s objectives. However, we recognize that every project has its unique challenges and requirements.

Should a project necessitate a more tailored approach due to specific conditions, complexities, or client preferences, we are flexible and experienced in adapting our methodology to meet those needs, ensuring optimal outcomes every time.


The RIBA Plan of Work follows the following stages:

Stage 0: Strategic Definition

This stage defines the purpose and need for the project. It's about identifying the project’s goals and whether it's feasible. Before any design begins, we will establish what the project aims to achieve.

  • Define Project Vision & Objectives: Establish the project’s purpose and long-term goals, identifying client and stakeholder needs.
  • Initial Feasibility Studies: Conduct high-level analysis to determine if the project is viable from a financial, legal, and site-related perspective.
  • Site Analysis: Evaluate site opportunities and constraints, such as zoning laws, environmental factors, and access.
  • Budget Estimation: Prepare a preliminary estimate of the project’s cost based on its goals and constraints.

Stage 1: PREPARATION & BRIEFING

In this stage, we will gather detailed information and develop the project brief. It’s about understanding what’s needed before starting the design, including site conditions, budget, and risk factors.

  • Develop Project Brief: Create a clear, detailed statement of the client's requirements, including spatial needs, aesthetic preferences, and functional goals.
  • Site Surveys & Investigations: Conduct in-depth site surveys (e.g., topography, soil testing, utilities) to assess existing conditions.
  • Risk Assessments: Identify potential risks (financial, legal, environmental) and develop strategies to mitigate them.
  • Initial Budget & Program: Refine the budget and timeline based on the gathered information to ensure  alignment with project expectations.
  • Stakeholder Engagement: Identify and consult with key stakeholders, such as local authorities, communities, and contractors.

Stage 2: CONCEPT DESIGN

This is where the design ideas begin to take shape. We will explore different design solutions and develop an initial concept that meets the project brief while considering site constraints and regulations.

  • Create Initial Sketches & Drawings: Produce simple plans, sections, and elevations to illustrate the general layout and appearance of the project and its facilities.
  • Explore Design Options: Develop several design ideas and assess them against the project’s goals, site conditions, and regulations.
  • Sustainability & Environmental Considerations: Ensure that sustainability goals (e.g., energy efficiency, material selection) are part of the design from the beginning.
  • Initial Structural & MEP Strategy: Begin planning how the structural, mechanical, electrical, and plumbing systems will fit into the design.
  • Outline Planning Permission Discussions: Consult with planning authorities to gauge initial reactions and get feedback on the concept.

Stage 3: SPATIAL COORDINATION

At this stage, the design is refined and coordinated to ensure that all elements - structure, services, and materials - fit together. The goal is to ensure the project is functional and aligns with the brief.

  • Refined Design Proposals: Develop detailed architectural drawings, refining sizes, layouts, and circulation routes.
  • Coordinate Building Services: Ensure that mechanical, electrical, and plumbing (MEP) systems are properly integrated into the design.
  • Material Selection: Finalize the selection of construction materials, balancing aesthetics, durability, and cost.
  • Detailed Planning Application: Submit the planning application, including detailed site plans, design statements, and other necessary documentation.
  • Cost Plan Development: Update and refine the project cost plan, making sure it aligns with the more detailed design.

Stage 4: TECHNICAL DESIGN

In this stage, the technical details are fully fleshed out. Every aspect of the design is detailed to ensure that the construction team knows exactly what to build and how to build it.

  • Produce Detailed Construction Drawings: Create highly detailed drawings, specifying every aspect of the construction of the project and its facilities.
  • Detailed Specifications: Clearly define materials, finishes, fixtures, and components.
  • Compliance with Building Regulations: Ensure that the design complies with all relevant local building codes and regulations, including fire safety and accessibility.
  • Final Coordination of MEP Systems: Finalize how all mechanical,  electrical, plumbing, and structural systems will work together in the construction process.
  • Tender Documentation: Prepare tender documents for contractors, including full design specifications, schedules, and pricing details.

Stage 5: MANUFACTURING & CONSTRUCTION

This is when construction begins. The design is translated into physical reality. The focus is on ensuring quality, adhering to the design, and managing the budget during the building process.

  • Contractor Mobilization: Appoint contractors and ensure resources, equipment, and labour are ready for construction.
  • Site Setup &Groundworks: Start on-site work, such as excavations, laying foundations, and setting up the construction area.
  • Construction Monitoring: The architect or project manager oversees the work to ensure it meets the design, schedule, and quality standards.
  • Quality Control & Inspections: Conduct regular inspections to ensure quality control and adherence to health and safety regulations.
  • Cost Monitoring: Track actual construction costs versus the budget, and manage changes as needed during  the construction process.

Stage 6: HANDOVER

The project and its facilities are completed and handed over to the client. This stage ensures everything is built as planned and that the client understands how to operate and maintain the project and its facilities.

  • Final Inspections (snagging): Conduct thorough inspections to identify any defects that need correction before handover.
  • Building Handover: Officially hand over the completed building to the client, including keys, access, and all necessary documents (warranties, manuals, as-built drawings).
  • Testing & Commissioning: Ensure that all building systems (e.g., heating, cooling, lighting) are tested and functioning as intended.
  • Client Training: Train the client or building users on the operation of systems (e.g., HVAC, security).
  • Final Account Agreement: Agree on the final project cost, including any changes or variations that occurred during construction.

Stage 7: USE

After the project is complete, the facilities are in use. This stage focuses on ensuring that the project and its facilities perform well and is maintained properly. Feedback may also be collected to evaluate the success of the project.

  • Building Performance Review: Monitor how the project and its facilities operate in terms of energy use, comfort, and maintenance requirements.
  • Post-Occupancy Evaluation (POE): Collect feedback from users about the project and its facilities functionality, comfort, and performance.
  • Maintenance Schedules: Create a maintenance plan to ensure the project and its facilities stays in good condition over time.
  • Feedback Loop: Use lessons learned from the project and its facilities performance to inform future projects and operational strategies.
